Job Description: Sunbird Trust is looking for an experienced Project & Administrative professional who will be in-charge of all infrastructural projects along with the general administrative work of the organisation. The candidate will be responsible for administrative tasks and contribute to making the company a better place to work while providing excellent assistance and support to employees and managers. Duties and responsibilities · Project Development and implementation at various locations 1. Identify new infrastructural development projects for school development at various locations 2. Assist the location team / project engineer in preparation of project proposal. This would include preparation of design, line drawings and structural drawing wherever applicable. 3. Identification of and liaising with project contractors, vendors and other local villager level contractors to implement infrastructure projects. 4. Work with the Project Engineer in reviewing the budget estimates submitted for each proposal. 5. Draft project documents such as Work order and submit for approval from COO & CEO 6. Assist location teams / project engineer in implementation of new projects, supervise the project implementation on a regular basis, report any major deviation vis a vis the work order to COO / CEO, prepare & submit interim review reports as required to COO 7. Work closely with the location teams / project engineer and ensure project payments are made on a timely basis as per the work order 8. Project Management and Risk Mitigation. This would include identifying the various challenges in implementation of projects in remote locations and keeping mitigation strategies in place for smooth operations. 9. Collect all project bills/invoices for submission to the accounts department 10. Regular site visit to supervise the progress of the project along with the location team or project engineer 11. Preparation of closure reports of each project and submission of the same for final approval by COO and payment by accounts · Finance 1. Work closely with the accounts team and COO on strengthening financial processes. This would include but not limited to maintaining of petty cash at Imphal for various location teams, reimbursement processes, payment processes for various programmes and projects 2. Work closely with the location teams and COO in preparation of annual budget for various programmes, administration budget which would include but not limited to rented properties across various locations and HQ, office supplies, operation cost of company vehicles, HR & technology budget etc. 3. Work closely with the COO/CEO & Accounts team in donor mapping of various projects 4. Ensure timely collection & submission of all project related bills / invoices / vouchers etc to the accounts team for internal and external audits 5. Maintain all the receipts of payments and co-ordinate with stakeholders in order to collect them 6. Work closely with COO and accounts team to prepare organization’s annual budget 7. Petty Cash maintenance at Manipur 8. Work with location teams and help them with donor utilization reports on a quarterly & annual basis. · Administration 1. Co-ordinate and inform all Sunbird employees regarding any guests visits 2. Policy Making, Implementing or updating the existing policies related to Administration, Financial Regulations (Reimbursement) etc 3. Assist CEO with streamlining the existing administrative structure in order to function efficiently 4. Work closely with the accounts team to maintain finance data, with the project engineer to maintain project related data and HR in-charge for employee related data 5. Monitor vehicle movement and get regular vehicle reports from vehicle managers at various locations including maintenance. 6. Receiving the goods and items donated to Sunbird, coordinate with the locations for their requirements and if needed accordingly arrange the transport of such goods and items. 7. To be the emergency POC for team members at all locations 8. Keep abreast with all the local contacts viz. Army & Assam Rifles, CRPF, Local leaders, Police personnel etc. 9. Maintenance of the calendar of events, vacations, guest/ partner/ donor visits for all locations. · Co-ordinating Volunteers/ Guests/ Interns visit 1. Make arrangements and co-ordinating with the Guests/ Donors/ Prospective Donors/ Volunteers for their visit to our locations in North East 2. Work closely with the location teams, COO and CEO to plan detailed itineraries according to needs and preferences 3. Coordinate with various team members and make suitable arrangement for their transportation, accommodations, food and other logistics. · Maintenance of the Sunbird Infrastructure and Assets 1. Managing and maintaining the facilities at all locations 2. Co-ordinate with driver and instruct him about the detailed plan for Guest visits 3. Maintenance of inventory register for all incoming and outgoing assets of the organisation in conjunction with the accounts and various location teams Qualifications: Bachelor’s Degree in any field with 8-10 years of work experience as administrator in a medium size corporate or NGO. Work experience in rural areas in under resourced environment would be an added advantage Must have skills: Good with MS Office, specially excel Problem solving attitude and mindset Ready to travel extensively Able to work with diverse teams spread across different locations Driving License (Two and Four-wheeler) Application Process: Preliminary screening of profile Reference checks.
