We believe that access to safe water and adequate sanitation are basic human rights and can help put an end to needless suffering and mortality from water related preventable diseases. Water For People India initiated its operations in West Bengal in 1996 in Nadia and North 24 Parganas districts. Consistent with the global vision and mission, we exist to promote the development of high-quality drinking water and sanitation services, accessible to all, and sustained by strong communities, businesses, and governments. Water For People India programs have been implemented in 26 districts in the states of West Bengal, Bihar, Maharashtra, Tamil Nadu, Odisha and Assam. In all, nearly 1.2 million people have been reached through community drinking water and sanitation, WASH in public institutions and market led approaches to sanitation. By 2023, Water For People India programs aim to directly benefit 2.7 million people. We aim to build capacities at the district level which will contribute to organizational commitments, thereby indirectly benefiting 14.8 million people. Water For People India implements programs through locally registered non-government organizations. Position Summary Purpose of this role is to provide a consistently high standard of professional support to the Country Director to ensure that he/ she gets efficient support in managing the CD’s work. The position is also responsible for supporting staff development events and team building interventions. The position has administrative and functional reporting to Country Director for CD related work and functional reporting for staff development to Deputy Director HR & Organization Development. Travel Time: Up to 25% Duties and Responsibilities An Executive Associate should have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive should work independently from conception to completion and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Complete a broad variety of administrative tasks for the Country Director/Managing Trustee including. Executive assistance & Event Management & Coordination Support in managing and calendar of appointments and activities of Country Director/Managing Trustee ensuring time is allocated in accordance with organizational priorities. Follow up on deadlines, commitments made, actions taken and coordinate the collection and submission of reports to the Country Director office. Coordinate the timely preparation and communication of invitations/documentation for all meetings/events of the Water For People. Perform follow-up with intern and external participants. Coordinate and oversee meeting logistics, including venue, virtual meeting arrangements, and hospitality for external delegates/participants. Manage the travel of CD by following due organizational processes. These would include ticketing, accommodation, visa etc and interfacing with counterparts in other states/ countries. (this I believe is covered below and can be deleted) Coordinating Board meetings and committee meetings Interact with Board members to get common dates for Board/ Committee meetings Share agenda and draft minutes of previous meetings 7 days in advance to all Board members Ensure meeting link for virtual meetings are shared well in advance and also send reminder with the link a day before the meeting Share presentations, other relevant documents in advance with all the Board members. Human Resource and Organization Development – Re-organize available electronic files, if needed, in the designated folders on the shared drive. Scan and digitize all hard documents not available electronically. Upload all the digitized documents in designated folders on the HR dashboard. Re-archive the hard copies and ensure proper labeling (if needed). Arranging advertising vacant positions and coordinating the recruitment Administrative Support Fully manage the itinerary and schedules for international colleagues and delegates from pick up to drop. Scrutinize the travel documents – passport, visa, tickets and inform in case of any discrepancies. Support India team Members traveling abroad and ensure completeness of documents. Skills: Demonstrate maturity and professionalism in all communications pertaining to organizational functioning, and roles performed. Maintain a friendly and cordial relationship with all colleagues that demonstrates values of partnership, empowerment and encouragement. Be accountable and ensure confidentiality in all tasks pertaining to the Board and organizational matters or reach out for clarification as required. Educational Criteria – Graduate/Post-graduate degree in Management, or related field from a reputed university/institute. Desired Experience: Minimum 3 to 5 years of relevant experience Experience working in the development sector is preferred. Language Requirements: Competent in English & Hindi.
